PET (Patient Encounter Tracking)

The PET (Patient Encounter Tracking) settings in the Account Manager allow System Administrators and Super Users to customize certain settings related to PET in your instance of Leo.

Path: Admin Toolbar > Advanced > Account Manager > Modules [expand] > PET [expand]

Default Program ID for classic version: This sets the default program ID for the classic version of PET. The default value is 0.

Path: Admin Toolbar > Advanced > Account Manager > Modules [expand] > PET [expand] > Program [expand]

NOTE: The Programs available in your instance of Leo will likely differ from those shown in the example.

PET for Program

  • Select which PET UI (User interface) to use: Use the drop-down menu provided to select the Classic or Modern UI version of PET. It is recommended that you select the Modern version.

Duty Hours

  • Enable duty hours for the Modern UI - This will enable the duty hours option for the Student. Duty hour reports are already active for Administrators.
  • Enable duty hour comments - This will enable the duty hours comment option. If activated, this field is optional.
  • Enable duty hour locations - This will enable the duty hours location option. If activated, this field is required and Locations will need to be added to PET in the Course Section.
  • Enable duty hour encounter types - This will enable the duty hours encounter types option. If activated, this field is required.


  • Allow faculty to create new diagnoses on the fly: Check this option to allow Faculty to create custom new Diagnoses outside the standard administrative menus.
  • Allow faculty to create new procedures on the fly: Check this option to allow Faculty to create new Procedures outside the standard administrative menus.
  • Allow faculty to create new core problems on the fly: Check this option to allow Faculty to create new Core Problems outside the standard administrative menus.
  • Allow students to edit old PET encounters: Check this option to allow students to edit PET entries in courses that are no longer active.
  • Early Access Days: Use this setting to designate the number of days prior to the beginning of a Course whereby students will be given access to the PET function for that Course.
  • Late Access Days: Use this setting to designate the number of days after the end of a Course whereby Students will be allowed access to the PET function for that Course.
  • Current Clerkship Only: Check this option to allow Students access to the PET function for their current enrolled clerkship only.

PET Data Fields for Modern UI

  • Include Ethnicity: Check this option if you would like to include the option for Ethnicity in the PET entry form.
  • Include Notes: Check this option if you would like to include the ability for students to add notes to their PET entry form. The Notes field is presented as a text box.
  • Allow students to delete active records: If checked, this option will give Students the ability to delete their own PET entries within a given active clerkship. Once the clerkship/course ends, Students will no longer have the ability to delete their PET records.
  • Track the resident: Check this setting if you would like to include the option to track Resident information in PET reports.
  • Track the attending: Check this setting if you would like to include the option to track Attending information in PET reports.
  • Track the patient ID: Check this setting if you would like to include the option to track Patient ID in PET records.
  • Track student participation level: Check this setting if you would like to include the option to track Student participation levels in PET reports.
  • Track Supervisor by role: Check this setting if you would like to include the option to track Supervisors by role in PET reports.
  • Track Cytology information: Check this setting if you would like to include the option to track Cytology information in PET reports.
  • Track Pathology information: Check this setting if you would like to include the option to track Pathology information in PET records.
  • Track Encounter Type: Check this setting if you would like to include the option to track Encounter Types in PET records.
  • Disable Location option: Check this setting if you would like to disable the Location option in PET records.
  • Disable Sex option: Check this setting if you would like to disable the Sex option in the PET entry form.
  • Disable Gender option: Check this setting if you would like to disable the Gender option in the PET entry form.
  • Select how to track patient age: Use the drop-down menu provided to choose the display type for Patient Age in the PET entry form.

PET Report Settings

  • PET Report Settings - No log entry truncation: Check this setting if you would like to show the full PET log entry in reports.
    • The default is to show a truncated entry version due to the large number of records and the potential length of each entry.
