Gradebook

The Gradebook settings in the Account Manager allow System Administrators and Super Users to customize certain settings related to the Gradebook.

NOTE: These settings have two levels, Global and Program. If there are settings at a Program level, they will supersede the Global level settings.

Global Settings

Global settings are used if there are no specific Programs settings.

Grade Matrix

  • Enable Grade Matrix: This setting enables the Grade Matrix system. If not checked, the Grade Matrix functionality is disabled.
  • Enable Grade Matrix for Category Totals: This option will display scores in Category Totals using the Grade Matrix.
  • Enable Grade Matrix Per Cell: This option will display scores in each cell using the Grade Matrix.
  • Default Grade Matrix: Select the Grade Matrix for this Program.

Custom Grade Type: If checked, this setting will allow each Course to select a custom grading type.

Gradebook Security

  • Deny Faculty Access: If checked, then Faculty will have no access to the Gradebook. If this option is selected then the Read-Only Access flag is ignored.
  • Faculty Read-Only Access: This option restricts all Faculty to read-only access of the Gradebook. This option is ignored if the Deny Faculty Access option has been selected at the Program or Global level of your system.
    • NOTE: When Faculty Read Only box is checked, then the Gradebook Access option will be visible in the Course > Assessment  > Gradebook Access.
  • Faculty Exam Access: By default, the Deny Faculty Access and/or Faculty Read-Only access options(s) also removes Faculty access to the Exam system.
    • The logic is that access to the Exam system allows access to Student scores.
    • This flag will allow Faculty to access the Exam system and push results to the Gradebook while still restricting access to the Gradebook.
  • Allow Course Director access: If the Gradebook Security is turned on, this option will let all Course Directors for a Course have access. This option overrides the Deny Faculty Access and Faculty Read-Only Access flags.
  • Allow Course Coordinator access: If the Gradebook Security is turned on, this option will give Gradebook access to Course Coordinators assigned to a Course. This option overrides the Deny Faculty Access and Faculty Read-Only Access flags. 
  • Allow Long Event Faculty Access to Exams: If Gradebook Security is turned on, this option will let Instructors in Long Events manage Exams and Assignments. It also ensures a minimum of read-only access to the Gradebook so that Long Event Faculty can review scores.

After the February/March 2024 update to Events in Leo, we would discourage you from adding new Long Events to Leo. If you have questions about the new Events user interface, please contact the Leo Administrator at your institution.

  • Minimum all-Course access: This setting defines the minimum security level required for universal admin access to the Gradebook.
    • This only applies if the Restrict Faculty Access option is checked.

Global Settings (continued)

  • Final Grade Option: If checked, the Gradebook will calculate and display a final grade as a percentage or letter grade.
  • Hide total points possible from Students: If checked, the Gradebook will hide the total points possible for Assignments from Students, but not Faculty with access.
  • Hide final grade from Students: If checked, this option will hide the final grade from Students, but not Faculty with access.
    • NOTE: The Final Grade Option must be checked in order for this setting to apply.
  • Category Score: Check this option to show the overall score for each Student in each Category defined in the Gradebook.
  • Category Critical Score: This setting turns on an option to define a passing score for a Category.
    • The Category Score setting must be checked for this to apply.
  • Category/Course Critical Score: If checked, a failed score in a Category Critical Score equals failure in the Course.
    • Category Score and Category Critical Score must be checked for this to apply.
  • Export Comments for entire Course: This setting enables the option to include all comments in the total Gradebook .CSV export.
  • Export Comments by Assignment: This setting enables the option to export all comments for a given Assignment.
  • Show net ID: Check this setting to display the Student netID in a column next to the Student name.
  • User alternate ID: This enables the selection of an Alternate ID to use in place of the netID.
    • This setting is only applicable if the Show netID option is checked.
  • Method of relative value calculation: Use the drop-down menu provided to select how the relative value of Assignments and Categories will be calculated in the Gradebook.
  • Min passing (red number): This number indicates the minimum passing percentage score. Any score less than this number will be displayed in red, indicating a failed grade.
    • The default for this is 70.
  • Std Deviation Multiplier: This option will multiply the standard deviation of the final grade times X and subtract that from the minimum passing percentage for a new percentage.
    • Enter Zero to turn this option off.
  • Incomplete Percent Trigger: If an exercise is > = this percent, and the value is Zero, then then student's status will be marked as incomplete. 0=off.
  • Statistics: If checked, the Student total score and pre-assignment score will be compared to the overall Course's mean, median and mode
  • Multiple Course Exams: Check this setting to allow the option to specify multiple Course Gradebooks for a single Exam.
    • This turns on the multi-Course Gradebook option in the Exam Editor.
  • Disable editing Gradebook Item name: If checked, the Section Coordinator for a Course will NOT be able to change the Gradebook Item's name. This is recommended.
  • If both alpha and numeric scores exist, display alpha: If left unchecked, then the numeric will be displayed.
Program: Level Settings

NOTE: The Program settings in your view may be different from those shown.

NOTE: Settings enabled/disabled at the Program level will override those set at the Global level.

    • This option is ignored if the Deny Faculty Access option has been selected at the Program or Global level of your system.
