Overview of Standard Groups
Five Standard Group shells are automatically created for every Course:
- Main Student group
- Faculty group
- Course Directors group
- Staff group
- Audit group
Once established, these group shells can be populated manually, or automatically if you have a Registrar feed set up with Leo.
Main Student Group
All Students enrolled in a Course will automatically be assigned to the Main Student Group. You can also manually assign Students to this group with the Simple Roster Tool.
This group will always use the following naming convention: MED2018r1 (unique Course master ID, school year, rotation number).
Faculty Group
Users in the Faculty group are added when they are assigned directly to Events. This will give them administrative rights in only those assigned Events.
Clinical Faculty are assigned at the Course Level since they do not teach specific Events.
In some cases, you may have Faculty members who will be helping with a Course but are not Course Directors or Event Instructors. In these cases, you may assign those Faculty Users to a Staff role - their names will not appear on the Course listing, but they will have access rights to those particular Events and Courses.
This group will always use the following naming convention: MED2018r1faculty (unique Course master ID, school year, rotation number, "faculty").
Course Directors (and Coordinators) Group
Course Directors (and Course Coordinators) are assigned at the Course Level and have administrative authority over the Course to which they have been assigned.
This group will always use the following naming convention: MED2018r1cd (unique Course master ID, school year, rotation number, "cd").
Staff Group
Like Course Directors and Faculty, Staff Users only have administrative privileges over Events and/or Courses to which they have been assigned.
This group will always use the following naming convention: MED2018r1staff (unique Course master ID, school year, rotation number, "staff").
NOTE: Remember, Staff Admins have a much higher access level than regular Staff Users. Users with Staff Admin access can manage Courses across the entire curriculum. They can still be part of the Staff group, but they do not need to be assigned to Courses or Events in order to administer those Courses or Events.
Audit Group
The Audit Group is for users who are not officially enrolled in the Course but who need to have access to the Events and materials. This might include visiting Students or Users in an observer role. Users in the Audit Group do not have access to Evaluations or Exams and cannot receive a grade in the Course.
The Audit group will always use the following naming convention: MED2018r1audit (unique Course master ID, school year, rotation number, "audit").
Adding Users to Standard Groups
If you have established a Registrar Feed for the System, the Students who are enrolled in each Course will populate directly into that Course roster.
NOTE: If you do not have a Registrar Feed set up, you can manually enroll Students in the Course through the Student Roster.
You will not have any Faculty in your Faculty Standard Group until you have Events in your Course and have Faculty assigned to those Events. When you assign Faculty to Events as an Instructor, they will then be added to the Faculty Standard Group.
If your Course does not already have Course Directors established that you can choose from, you can click the Get Extended List link to select from all eligible Faculty members.
Any Faculty member can be made a Course Director.
To add a Course Director to your Course, use the following:

To add a staff member to your Course, use the following:
Path: Home > [select Course] > People > Groups > Standard Groups > Main Staff Group
To add an audit user to your Course, use the following:
