In February 2025, Long Events will deprecated from Leo. As a result of this process, all reports and options for Long Events within Leo will no longer be accessible. Existing Long Events will be converted to standard events in Leo, and the "All Day" event flag will be marked for these events. If you have any questions regarding this change, please contact the Leo Help Desk.
Long Events in Leo
Long Events were created in Leo so that institutions could create events that didn't necessarily begin and end on the same day. This also allowed institutions to add assignments that could span multiple days or weeks if needed. As a result, schools had a lot of flexibility when creating events in Leo and how students saw those events on their calendars. However, with the added flexibility came the need to manage Events and Long Events in separate menus and reports. There was also some confusion about why Long Events did or didn't show up on students, faculty, staff, and super users' calendars.
Over time, many of the same features (e.g., assignments) that were found solely in Long Events were also added to standard Events in Leo. This increased complexity led to some confusion about where to create and manage certain events and/or assignments in Leo. Furthermore, there were questions about which Events or Long Events were represented in various reports in Leo.
To streamline the process of managing and reporting on events in Leo, Long Events will be deprecated, and existing Long Events will be converted automatically to regular events. Institutions will no longer need to manage separate reports to keep track of what's going on in Leo. All events for each course will be accessible in a single location!
New Events User Interface
In the winter of 2024, the new Events user interface was introduced to Leo. This change streamlined both the process of creating new events within the Leo user interface as well as editing events within Leo. This also introduced the concept of an "All-Day" event to Leo. This optional flag for Events allows events to look and behave exactly like a Long Event in Leo. With this added functionality, it became clear that Long Events were no longer needed.
What has changed?
Long Events will be converted to standard events in Leo and will automatically be flagged as "All Day" events. If a Long Event had any specific start/end time associated with it, that information would be pre-pended to the event description (All Day events do not have the option to add beginning or end times to the events). All other data associated with each Long Event will now reside with the newly created/converted event.
Because there was not a Location field for Long Events, but standard events in Leo require that a location be selected, all converted Long Events will be assigned to a newly created location in Leo. This location is simply named "Long Event". This location has been created and added to all events that were converted from a Long Event to a standard "All Day" Event. This should also assist you in identifying those Events that have been converted.
Before Long Event Conversion | After Long Event Conversion |
---|---|
Access Long Events via Events > Long Event > Management | All Course Events are found in the same reports together |
Long Events with Start and End Dates (times were optional) | "All Day" regular events (start and end times, if present, are pre-pended to the event description) |
Long Events had no designated Location | Converted Events will all be assigned to a new location, "Long Event" |
What do I need to do?
The end users of Leo will not need to take any action as a result of this change. The Long Events that you previously accessed via Events > Long Event > Management will now be accessible via Events > Manage Events or Events > View > All Events. Any report that includes course events and course event-related information will now include those events previously identified as Long Events.
All converted Long Events will have a location of "Long Event." This should also assist you in identifying those converted events in reports. If you want to update the event type and/or location for these events further, we suggest using the Events > Manage Events report found at the Section level of a Course.
Further, if you want to change the location name from "Long Event" to another name, you can access Location Management, Admin Toolbar > Advanced > Location Management > Locations > [search for "Long Event"] > edit the Name > save the location.
