Import Overview

This feature allows you to upload data that will be imported into the System via the Course, iCAL or Exam Import option.

Path: Home > Courses > [Course Screen] > Import

This feature is only available to Administrators.

Import Events

Path: Courses > [Select] Course > Import > Events

This is the single file upload screen for Events, which allows you to

  • Download an Empty Event .csv file from the Course Section
  • Download the Event Template for the selected Section to modify Events already created
  • Upload Your Event .csv file directly to the Course Section

If you include the groups for the event on your import file, be sure to remember the format for importing small groups. Use the Small Group Set Name and the Small Group Name. For example, if the small group set is LabGroups2022 and the small group is Lab_Group_1, then you would enter LabGroups2022:Lab_Group_1. Other enrollment groups can simply be entered as they appear in Leo.

Import Long Events

As of the February/March 2024 update to Events in Leo, we would discourage you from adding new Long Events to Leo. This update will bring together the features of Long Events and Regular Events in Leo into a new, modern user interface. Users will be able to create events, all-day events (that span one or more days), or events that start on one day and end on the next.

If you have questions about the new Events user interface, please contact the Leo Administrator at your institution.

Path: Courses > [Select] Course > Import > Long Events

This option allows you to upload and download Long Events for the selected Section via a CSV file.

If you supply an external ID# and source name, the system can find the existing record if you re-upload your data with changes. If this information is not included, then the system will simply create duplicate Long Events.

Import Session Objectives

Path: Courses > [Select] Course > Import > Session Objectives

This option allows you to import session objectives that will be attached to existing Events or Long Events.*

Unlike most of the other import options, this option requires that you generate the template for the import from Leo. You cannot manually create the template. Do not modify the non-session objective fields created by the template.

You can enter as many session objectives as you wish, and each session objective needs to be in its own column.

If you wish to add any mapping information to either your Course or Program Objectives (depending on whether Course Objectives are enabled in your Academic Year settings), you should use a backtick [`] at the end of the session objective text, followed by the Course Objective code (or G&O number).  Because the backtick character [`] is used as a delimiter for adding mapping information, please make sure that Session Objectives do not contain any backtick characters.

If you wish to import new Events or Long Events with session objectives, this can be done via the Event/Long Event Import option.

Import Course Objectives

Path: Courses > [Select] Course > Import > Course Objectives

This option allows you to import Course Objectives into this Section, if you have enabled the Academic Year to have the Course Objective level of mapping included for your courses, this option will appear in the Import Menu option.

There is a 10-character limit for the Course Objective Code column. If any of your course objectives have a code that exceeds this limit, you'll have to edit your data and upload your file again.

You will be able to link as many objectives (from your G&O version) as needed to each Course Objective. Each objective however will need to be in its own column. Course Objectives should be linked based on the Objective identifier (Objective Number) from your G&O version. For example, If you want to map a Course Objective to Objective number 4 from Goal 2, enter '2.4'.

NOTE: Format the cells as text when importing mapping information for Course Objectives. Leo recognizes the Goal number as an integer (whole number) and the Objective number as an integer. If formatted as a number, your spreadsheet software will likely drop the trailing zeros, so Objective numbers 1.10, 1.20, 1.30, 1.200, 1.300, etc. will not import correctly unless you format those cells as text. See the example below for more context.

Importing Exams

Path: Courses > [Select] Course > Import > Exams

The CSV Exam Import function can take Exams presented in .csv format and import them into the Leo's Exam tool. Once the csv is received, we will parse the .csv. While images, sound files and video do not import during the import process, you CAN manually link these files to the specific Exam questions after the import and within the Exam Editor.

Importing iCAL

Path: Courses > [Select] Course > Import > iCAL

Upload iCAL Data

This screen lets you import events from an iCal (calendar) export. You can use the dates in the exams or you can specify the beginning date for events, and the first event will be created with that date, and all other events will be imported relative to the date the of the first event. If you leave the first date field blank the system will use the date of the iCAL entries as the date of the event.

  • The first step is upload the file. Go to Course Screen -> Import -> iCAL > Upload iCAL Data
  • Once the file is uploaded, you can select the uploaded file from this screen and set default values.

 

There are many data fields that are not included in most iCAL exports that are required in order to create an event in Leo. Thus, this screen lets you set default values for data that may not be included in your iCAL file. You can review the data after it is imported and adjust the events with the correct information.
