Linked Events

Linked Events are a set of Events that are linked together to share documents and curricular mapping.

  • These Events do not have to share the same day and time, they can be unique as long as they share the same Event Type (ex. lab, lecture, clinical, etc.).
  • These Events will generally share the same materials and content.
  • Not to be confused with Repeating Events, which are sets of Events that share the same Event Type, as well as a common day and time, and recur over a specified period of time.

TIP: The Hide Mapping feature in Linked Events works so each instance in a Linked Event Set had mapping hidden during the appropriate time, without being tied to the time/s of the other events in the set.

(1) Linked Event Listing

This report shows all of the Linked Events that exist in the current Course. Each group of Linked Events is shown once, along with a count of the number of Events in the linked group of Events.

You can also use this report to create new Linked Event Template. This lets you create Linked Events without ever having to use the standard Event Editor.

  • Event Manager: Opens the standard Event Manager
  • Add New Linked Event: Tool to manually create a new Linked Event
  • Deleted: Shows Deleted Linked Events
  • Synchronize: Forces the synchronization of all Linked Events in the Course
  • Non-Linked Events: Tool to automate the creation of Linked Events from existing Events. 
  • Repeating Linked Events: This report shows you a list of all of the Repeating Linked Events for the given Course.
  1. Linked Event: Click to see the Event screen of the first Event in the linked group.

Event Manager

This report will shows you all Events in your current Course.

NOTE: If you have enabled Show an asterisk to flag Events in conflict in the Account Manager, then the * column, before the Event column, will show a * for those Events which are in conflict.

Add New Linked Event

This is the Linked Events Template Screen. The fields here will be common to all of the Events that are linked together through this Event Master. Changes here will be propagated to all of the Events linked to this Event Master.

Each set of linked Events must have a unique combination of:

  • Course
  • Linked Event Name
  • Event Type

Within any Course, each Event Group must have a unique name + Event Type. If you change the name or Event Type the System will check to see if the settings will be unique.

Your Course must have at least one Small Group Set before you can create Linked Events in the Course.

Uniqueness: Each Linked Event in a Course must have a unique Name and Small Group Set. If there is a conflict (i.e., duplicate  records) the System will not let you save the new duplicate record.

Non-Linked Events

This option is used to specify the Event Type to be used.

Events for the Event Type will be displayed, sorted and summarized by name or name and date with the number of Events.

To confirm that the Events were linked, go to Events > Linked Events > Linked Events Listing

(2) Repeating Linked Events

A Repeating Linked Event is a set of Linked Events that are repeated over a given date range in a Course.  

Repeating Linked Events allow you to create a shell of Linked Events  that can be used/repeated as many times as necessary. You can rename repeated instances of a Linked Event set with unique topic titles.

  1. The first step is to create a Linked Event.
  2. Then set up the schedule for multiple occurrences of the Linked Event using the New option.

New Repeating Linked Events

The Repeating Linked Event editor is where you can create and modify your Repeating Linked Event. There is also a build list with the same name where you can select the dates to which you will assign Linked Events.

Before you can create a Repeating Linked Event you must create a Linked Event that will represent the structure of all the Linked Events that you are going to create. All of the Linked Events created within the Repeating Linked Event will be copies of the original Linked Event.

Note: That Content and Mapping will not be copied. However, Groups, Instructors, and Staff will be copied.

You can set up a repeating schedule to create Linked Events and/or you can select a set of dates for the Linked Events from a list of all the dates from the first to last date of the Repeating Linked Event.

The basic steps you must take are:

  • Create or identify a Linked Event to be the template. This is done in the Event Template field.
  • Define a repeating set of dates, and/or select dates from a date list (the Manage Dates option).
  • Define custom names for each Linked Event. If no custom name is defined, the name will be the name of the Repeating Linked Event and the first date of the Linked Event.
  • Create the Linked Events. You can create them one-by-one or you can create them all at one time.

This report lets you view the current custom names assigned to prospective and existing Linked Event Sets. By default, the name of a new Linked Event created by this process will be the name of the first Linked Event plus the date of the new Linked Event.

If your Linked Event will contain Events that take place on different dates, then you absolutely should assign a custom name to your new Linked Events. Otherwise, you will end up with Events that have a date in their title that is not the date of the actual Event.

Create Linked Events (3)

This report will show you all of the selected dates in your Repeating Linked Event for which you have not yet created a Linked Event. The dates which already have been assigned Linked Events will not be in this report.

You can create the Linked Events one-by-one or you can use the Create All Linked Events option to create all of the Linked Events at one time.
