This User Guide article explains how to set up and manage Themes in Leo.  

Themes are an additional mapping element that provides programs with flexibility for mapping and tracking their curriculum. Themes are used to tag content in Courses, Events, and other curricular objects (e.g. evaluation questions and PET diagnoses and procedures). Themes are designed to be open and free form, so you can map information that is not covered by the other mapping elements such as Objectives and Competencies.

A Theme can be an organ system, scientific field of study, or any other content-specific element that you want to use to organize, coordinate, or report on your curriculum, evaluations, and/or student patient encounters.

In Leo, Themes can be classified into three levels.

  • The first, base level is made up of individual Themes.
  • The second, middle level is the Theme Set, where you are able to sort Themes.
  • The third, highest level is the Theme Collection, where you are able to organize Theme Sets.
  1. If you choose to only utilize one level for your Program, then you will only need to set up Themes.
  2. If you choose to utilize two levels, then you will have the ability to set up the individual Themes and sort them into Theme Sets.
  3. If you choose to utilize three levels, you will have the ability to set up the individual Themes, sort the Themes into Theme Sets, and associate Theme Sets to a Collection.

NOTE: Define the number of Theme levels in the Account Manager Settings.

Note: If you have not set the number of Theme mapping levels to be used in your Program, your system will be set to three levels of mapping by default.

You can map Themes to Evaluation Questions in Leo.  For more information on mapping Themes in your Evaluation form, please refer to the following article: Create/Edit an Evaluation: Map Themes

Once Themes are mapped to an Evaluation Question(s), they will display in the Themes section of the Academic Portrait unless marked to exclude from reporting. For more information on Themes reporting in the Academic Portrait, please refer to the Portrait Listing: Themes article.

Themes can also be mapped to Diagnoses and Procedures, as they apply to Patient Encounter Tracking (PET) in Leo. Once Themes are mapped to various diagnoses and/or procedures, students and faculty mentors can see those diagnoses and procedures broken down by theme in their Academic Portrait.

Path: Admin Toolbar > Curriculum Mapping > Organization> Themes > [Select Program]

Themes (Level One)

This report shows you a list of all of the individual Themes which have been defined for the Program you have selected. From this report you have the ability to add, edit, remove, and manage your deleted Themes.

If you have set your Theme levels in the Account Manager settings to One, then you will only need to set up the list of individual Themes you wish to map across your Program. If you have set your Theme levels to Two or Three, this report will allow you to manage the Themes connected to a specific Theme Set in a given Theme Collection.

Themes are designed to be open and free form, so you can map information that outside of the other mapping elements.

  1. Theme Name (Click to Edit): To modify the name or description.
  2. Add New Theme: Use this option to create a new Theme.
  3. Manage Another Program: Click to manage Themes for a different Program.
  4. Deleted Themes: Shows all of the deleted Themes for the current Theme Set in the current Theme Collection.
  5. Inactive Records: Shows a list of all inactive Themes which are not utilized for the Program.
  6. XML Import: Click to import Themes into the current Theme Set. You can import a single Theme or all of the Themes for a Theme Set (the current Set or another Theme Set).
  7. XML Export: Click here to export all of the Themes for the current Theme Set.

All Themes are linked to a Theme Set. If you only enabled Themes, then all of your Themes will be linked to a default Theme Set and Theme Collection.

Edit/Add New Theme

This page provides a method of naming and describing a Theme that can then be used to tag Courses, Events, and other curricular objects.

  • Theme Set: Required (*) if you are utilizing only one Theme level, the Theme Set will be set to DEFAULT, which is a System generated Theme Set folder. 
  • Name: Required (*)
  • Description: Optional
  • Include in CI: Check mark. Click the the box to enable include the current Theme in Curriculum Inventory reporting.
  • Inactive: Yes/No toggle. The default is No, it is not inactive.
  • Deleted: Yes/No toggle

Once you are finished adding the new Theme click Save Record.

Theme Sets (Level Two)

This report shows you a list of all of the individual Theme Sets which have been defined for the current selected Theme Collection for the selected Program. From this report you have the ability to add, edit, remove, and manage your Theme Sets.

  • If you have set your Themes Mapping Levels in the Account Manager settings to level One you will not be able to access the Themes Set report.  
  • If you have chosen to have Two or Three levels, then this report will allow you to manage the Theme Sets connected a to given Theme Collection.

To import commonly used pre-configured Themes in Leo, refer to this article.

Theme Sets are designed to be an organizational tool to allow you to sort Themes.

In the Manage Active Theme Sets screen you have the following options:

  1. Theme Set (Click to Edit): To modify the name or description of the Theme Set.
  2. New Theme Set: Use this option to create a new Theme Set.
  3. Manage Another Program: Click to manage Themes for a different Program.
  4. Deleted Theme Sets: View and manage a list of the deleted Theme Sets for the selected Theme Collection.
  5. Inactive Theme Sets: Shows a list of all inactive Theme Sets for this Theme Collection.
  6. XML Import: Click to import Theme Sets into the current Theme Collection. You can import a single Theme Set or a complete list of all the Theme Sets for a Theme Collection (the current one, or another Theme Collection).
  7. XML Export: Click here to export all of the Theme Sets for the current Theme Collection.

Add a New Theme Set

Follow the steps below to add a new Theme Set to the current Theme Collection:

  • Click on Options and select New Theme Set on the manage Active Theme Sets page.
  • Click on the Theme Collection drop-down, if you need to move this Theme Set to a different Theme Collection.
  • Enter in the Name of the Theme Set.
  • Provide an optional Description for this Theme Set.
  • Click Save Record.

INFO: If you only enabled Themes (level One), then all of your Themes will be linked to a default Theme Set and Theme Collection.

Edit/Add New Theme to a Theme Set

Once a Theme Set has been created, you will be able to associate and/or add Themes to the Theme Set.

  • To add a new Theme to a Theme Set, click on the Theme Count Number.

Once Manage Active Themes Screen opens > Click Add New Theme.

Enter in the following information to add a new Theme Record associated to the selected Theme Set.

  • Theme Set: Required (*)
  • Name: Required (*) - Enter the name for this Theme. It must be unique within the Theme Set.
  • Description: Enter an optional description for this Theme.
  • Click Save Record.

The new Theme will now be associated to the Theme Set.

Theme Collections (Level Three)

This report shows you a list of all the Theme Collections that have been defined for the Program you have selected. From this report you have the ability to add, edit, remove, and manage your Theme Collections.

If you have set your Themes Mapping Levels in the Account Manager settings to level One or Two, the Themes Collection will have a pre-populated Collection called Default. If level Three has been set, then this report will allow you to organize related Theme Sets into a Theme Collection.

Theme Collections are designed to be an organizational tool to allow you to sort Theme Sets.

The Manage Active Theme Collections screen provides the following options:

  1. Theme Collection Name (Click to Edit): To modify the name or description of the Theme Collection.
  2. Theme Set Count: This is the number of Theme Sets for a particular Theme Collection. Click the Theme Set number to view a detailed listing of the Theme Sets for a Theme Collection.
  3. Themes: Shows the total number of Themes associated with the Theme Sets for this Theme Collection.
  4. New Theme Collection: Use this option to create a new Theme Collection.
  5. Manage Another Program: Click to manage Themes for a different Program.
  6. Deleted Theme Collections: View and manage a list of the deleted Theme Collections for the Program.
  7. Inactive Theme Collections: Shows a list of all inactive Theme Collections for the Program.
  8. XML Export: Click here to export all of the Theme Collections for the current Program. This will export all Theme Sets and Themes related to each of the Theme Collections.
  9. XML Import: Click to import Theme Collections into the current Program. You can import a single Theme Collection or all of the Theme Collections for a Program.

Add a New Theme Collection

To add a new Theme Collection to the current Program follow the steps below:

  • Click on New Theme Collection on the Mange Active Theme Collections page
  • Click on the Program drop-down if you need to move this Theme Collection to a different Program.
  • Enter in the Name of the Theme Collection
  • Provide an optional Description for this Theme Collection
  • Click Save Record

INFO: If you only enabled Themes (level One) or Theme Sets (level Two), then all of your Themes and Theme Sets will be linked to a default Theme Collection.

Edit/Add a New Theme Set to a Theme Collection

Once a Theme Collection has been created, you will be able to associate and/or add Theme Sets to it.

To add a new Theme Set to a Theme Collection, click on the Theme Set Count Number.

  • Click on New Theme Set on the mange Active Theme Sets page
  • Click on the Theme Collection drop-down if you need to move this Theme Set to a different Theme Collection.
  • Enter in the Name of the Theme Set
  • Provide an optional Description for this Theme Set
  • Click Save Record

Note: This input screen is used to create, modify, and delete Theme Set records associated with a particular Theme Collection. Each Theme Collection for a Program is divided into one or more Theme Sets.

Edit/Add New Theme to a Theme Set

Once a Theme Set has been created, you will be able to associate and/or add Themes to the Set.

To add a new Theme to a Theme Set, click on the Theme Count Number.

In the top left hand corner of the Manage Active Themes Screen click Add New Theme

Enter in the following information to add a new Theme Record associated to the selected Theme Set.

  • Theme Set: Required (*)
  • Name: Required (*) - Enter the name for this Theme. It must be unique within the Theme Set.
  • Description: Enter an optional description for this Theme
  • Click Save Record

The new Theme will now be associated to the Theme Set.

Include Theme in Reporting

Should you wish to include a specific Theme in Reporting, please click on the check box in the Include in Reporting column.

The check box to Include in Reporting option for Themes refers to enabling the designated Theme to display in the Academic Portrait. For more information on Themes reporting in the Academic Portrait, please refer to the Portrait Listing: Themes article.
