Creating a Group Lottery
Updated onArticleThere are two components that should be considered before you create a new Group Lottery record. Determining the following before creating a new Lottery record is our recommended best practice.
- Group Access: Which group(s) of students will be participating in the lottery? Students that are participating in your lottery should be part of a group(s) that can be assigned access. While multiple groups can be assigned access, it is important to note that every student within the groups that have been assigned will have access to rank their lottery selections.
- Elements: Elements are the things that students will be ranking. These can be Groups, Events, or Course Sections. For the easiest workflow, you should make sure that the elements already exist within your system before creating your lottery record. Keep in mind, that events and course sections can be created in bulk via the data entry tool in the Admin Toolbar.
This article will address the components and various considerations for creating a Group Lottery in Leo. Leo also supports Event, Course, and Course Block Lotteries. Not sure which one to utilize? Click here to learn more about each type of Lottery and the various outcomes.

Updated onArticleThese features list all Instructional and Assessment Methodologies defined in your system and allow you to edit and maintain these lists.
- Instructional Methodologies (IM) describe how a learning Event is taught.
- Assessment Methodologies (AM) describe how learning will be assessed.
There can be multiple Instructional and Assessment Methodologies assigned to an Event. However, only those methodologies that are linked to a given Program will be available to Courses and Events within that Program.

About the Lottery Tool
Updated onArticleLeo's Lottery tool allows students to rank a set of either courses, events, or groups based on their preferences for enrollment. Examples may include clerkship course lotteries, elective and selective course lotteries, and event lotteries.
If a Course/Group/Event is over-subscribed, the Students that indicated their highest ranking for the Course/Group/Event will be given preference. If there are still too many Students with the same preference, the system will randomly select which Students will be selected for the Course, Group, or Event.

- Blocks: Leo will automatically create your Blocks for a Course Block Lottery, but you should ensure all of the beginning and end dates for the course sections match up appropriately.

Themes
Updated onArticleThis User Guide article explains how to set up and manage Themes in Leo.
Themes are an additional mapping element that provides programs with flexibility for mapping and tracking their curriculum. Themes are used to tag content in Courses, Events, and other curricular objects (e.g. evaluation questions and PET diagnoses and procedures). Themes are designed to be open and free form, so you can map information that is not covered by the other mapping elements such as Objectives and Competencies.
A Theme can be an organ system, scientific field of study, or any other content-specific element that you want to use to organize, coordinate, or report on your curriculum, evaluations, and/or student patient encounters.
