Auto-Approve Evaluations

Evaluation forms in Leo can be set to Auto-Approve. This will allow students to get feedback as soon as an evaluation is submitted by their evaluator. Evaluations that are auto-approved will immediately be available for students to access in the Academic Portrait. You can also enable an Account Manager setting to allow students to be automatically notified of new evaluation results to view via email. This email will contain a link that will take students directly to the summary evaluation.

Evaluations that are auto-approved are still bound by all privacy and de-identification rules. For this reason, we recommend NOT enabling auto-approve for an evaluation form that is used for students to evaluate faculty or clinical faculty. This would most likely result in faculty not being able to view evaluations for which they receive email notifications. They would instead see an error message informing them that they do not have access to view the evaluation.

If you are using Auto-Approve for Student of Student evaluation forms, you should check the box next to "Disable student rules for Student peer-eval summary review" in the Account Manager. While comments will still be de-identified, this will allow Student of Student evaluations to bypass the N < X rule. Otherwise, students would most likely not be able to view any auto-approved evaluations.

Enable Auto-Approve for Evaluation Forms

Auto-Approve for Evaluations can be enabled or disabled for each evaluation form. The auto-approve setting will apply to any type of evaluation that is using a form with auto-approve enabled.

PATH: Admin Toolbar > Assessment > Evaluations > Eval Listing > [select an evaluation form to edit or create a new evaluation form]

When auto-approve is enabled for an evaluation form with existing evaluations that have already been submitted, those evaluations will no longer appear at the Course Template level as part of the Evaluation Workflow (EWF) process. In this case, it is important to approve all pending evaluations before turning on Auto-Approve for evaluation forms that are already in use.

Enable Email Notifications for Auto-Approved Evals

All evaluation forms that are set to Auto-Approve will result in the evaluatee being able to immediately access the results via the Academic Portrait. However, you may also enable the ability for evaluatees to receive instant email notifications as well. These emails will contain a link that allows students to have direct access to their evaluation. The setting to enable email notifications for Auto-Approved evals is available for each type of evaluation for course sections and events.

After the February/March 2024 update to Events in Leo, we would discourage you from adding new Long Events to Leo. This update will bring together the features of Long Events and Regular Events in Leo into a new, modern user interface. Users will be able to create events, all-day events (that span one or more days), or events that start on one day and end on the next.

Enabling this setting will also result in the ability to manually trigger an email notification when approving summary evaluations from one at a time. See this article for more information.

Email Notifications for Evals that do not Auto-Approve

You can send email notifications manually for evaluations that are not set to auto-approve. This must be done one at a time while viewing a Summary Evaluation accessed via the Evaluation Workflow screen.
